AI Chatbot for Hotels and Vacation Rentals: Answer Before Guests Book
How an AI chatbot answers hotel and vacation rental guests before booking and arrival, in their language, while your booking engine takes the reservations.

Short answer
An AI chatbot for a hotel or vacation rental answers what guests ask before booking and arrival, such as check-in times, parking, pets, cancellation, accessibility and directions, from your own pages and in the guest's language. As of October 2026, PepoChat has no booking-engine or channel-manager integration: the bot links to your booking page and never reserves rooms, holds dates or takes payment. Requests that need a person go to your team.
A couple planning a long weekend find your guesthouse on a booking site at 11 p.m. and open your own website to compare. They want to know about parking, the dog and the cancellation terms. If your site answers in seconds, booking direct is easy; if the answer means an email and a wait until morning, the booking site is one tap away.
The guide below is for independent hotels, B&Bs, guesthouses and serviced apartments, and for vacation rental hosts with a direct-booking website next to their Airbnb, Vrbo or Booking.com listings. The worked example is PepoChat, our product; the question table and the rules apply to any tool. Product details were checked against PepoChat's documentation and code on 19 October 2026, and survey figures were read the same day on the pages linked next to them.
What does an AI chatbot for a hotel or vacation rental do?
An AI chatbot for a hotel or vacation rental answers guests from your own content at any hour, sends them to your booking page for dates and prices, and passes anything that needs a decision to your staff. The chatbot sits next to your booking engine and does not replace it.
A hotel chatbot is an AI support agent on a property's website that answers guests from the property's own pages and policies and hands over to a person when the answer is missing or a decision is needed. A booking engine is the software behind the "Book now" button: it shows live availability and rates, takes the reservation and collects payment. A channel manager keeps availability and rates in sync between your property management system and sites such as Booking.com, Expedia and Airbnb.
A useful hotel chatbot searches your content before every reply and admits when your pages are silent; a risky one improvises, approving a late check-out or quoting last summer's rate. The difference is mostly configuration.
What do guests ask before they book and before they arrive?
Guests ask about times, money, rules and getting there. Most of those questions have one right answer on your website or in your house rules; the ones to pass to a person involve a specific reservation, an exception to a rule or a price for particular dates.
In the table, answers means the bot replies from your content, links means it sends the guest to your booking page, and hands off means it passes the conversation to your team with the transcript attached, usually after asking for an email address. That hand-over is called a human handoff.
| # | Guest question | Usually asked | Where the answer lives | The bot |
|---|---|---|---|---|
| 1 | "What time is check-in?" | Before arrival | House rules or FAQ page | Answers |
| 2 | "Can we check in early, or leave our bags?" | Before arrival | Policy page: the rule, any fee, luggage storage | Answers the rule; hands off a request for a specific day |
| 3 | "What time is check-out? Can we leave later?" | Before arrival | House rules, with any late check-out fee | Answers the rule; hands off the request |
| 4 | "Is there parking, and what does it cost?" | Before booking | Parking or getting-here page | Answers |
| 5 | "Can we bring our dog?" | Before booking | Pet policy: fee, size limits, which rooms | Answers, including the service-animal rule |
| 6 | "What is your cancellation policy?" | Before booking | Cancellation policy for each rate type | Answers in the policy's exact terms |
| 7 | "Do you have a double for 14 to 16 March, and how much?" | Before booking | Your booking engine | Links; never confirms dates or quotes a rate |
| 8 | "Can I book and pay here in the chat?" | Before booking | Your booking engine | Links; never takes card details |
| 9 | "Is breakfast included?" | Before booking | Rates or dining page | Answers; links when it depends on the rate |
| 10 | "Is there a pool, gym or hot tub, and when is it open?" | Before booking | Amenities page with seasonal hours | Answers |
| 11 | "Is the Wi-Fi fast enough for video calls?" | Before booking | Amenities page with a measured speed | Answers if the speed is published |
| 12 | "Is there step-free access or a roll-in shower?" | Before booking | Accessibility page with measurements | Answers from the page; hands off anything not described |
| 13 | "Do you have a cot or an extra bed?" | Either | Room or family page | Answers; hands off reserving one |
| 14 | "Is there a security deposit, and when is it returned?" | Before booking | Policy page: amount, how it is taken, refund timing | Answers; hands off disputes |
| 15 | "Can we change our dates or add a night?" | Before arrival | Your booking engine or your staff | Links to manage-booking, or hands off |
| 16 | "How do we get there from the airport?" | Before arrival | Directions page | Answers |
| 17 | "How do we get the keys if we arrive late?" | Before arrival | Arrival guide, process only | Answers the process; never gives a code |
| 18 | "Are parties allowed? When are quiet hours?" | Before booking | House rules | Answers |
| 19 | "Where should we eat nearby?" | Before arrival | A local guide you wrote | Answers from your guide only |
| 20 | "We are a group of 12: is there a rate?" | Before booking | A person | Hands off with contact details |
The pattern is policy versus exception. A chatbot can state your check-in time, early check-in fee and pet policy all night, because those are facts on a page. Whether room 12 will be ready at 11:00 next Tuesday, or whether you will waive a cancellation fee, are decisions, and a bot that makes them makes promises your staff must keep.
What should go in a hotel or rental chatbot's knowledge base?
Give the chatbot what a good receptionist has read: room and amenity pages, house rules and policies, an arrival guide, an accessibility page, a local guide and Q&A pairs for the questions your team answers every week.
A knowledge base is the private collection of pages, files and snippets the chatbot searches before every reply. PepoChat's agent answers only from it, never from general knowledge about your property, so the knowledge base decides what the bot can say.
| Source | What it answers | How to add it in PepoChat | Keeping it current |
|---|---|---|---|
| Room and amenity pages | Beds, views, kitchens, pool, Wi-Fi, breakfast | Sitemap import or website crawl: up to 200 pages, one knowledge source | Re-fetched weekly; press Sync website pages after a change |
| House rules and policies | Check-in and check-out, pets, parties, cancellation, deposits | The policies page, or a PDF or DOCX upload | Upload a file with the same name to replace it |
| Arrival guide, without codes | Parking, directions, key collection | A page, or a text snippet | Edit the snippet when the process changes |
| Accessibility page | Step-free routes, door widths, bathroom details | A page with measurements | Review after any building work |
| Local guide | Restaurants, beaches, shops, transport | A page or a document you wrote | Review every season |
| Repeat questions | "Do you have a cot?" | Q&A pairs, which do not count as knowledge sources | Add one for each question the bot missed |
Limits as documented on 19 October 2026.
Write down what the photos show. PepoChat's crawler keeps the text of a page, not its pictures, so a parking space or a sofa bed that appears only in a photo is invisible to the bot. Add a line to each room page, such as "Step-free entrance, walk-in shower, one parking space"; the real estate chatbot guide describes the same gap on property listings.

Keep rates, availability and the booking engine out. Rates can change daily, while PepoChat re-fetches website pages weekly, or at once when you press Sync website pages, so a rate in the knowledge base is a stale rate waiting to be quoted. Publish fixed charges such as the pet fee, parking charge and deposit, and send questions about dates to the booking page. A crawl stays on your own site, so a booking engine on another domain is not imported anyway; the guide to adding your website lists the crawl options.
Keep codes and private details out. Anything in the knowledge base can be repeated to anyone. Door codes, key-safe codes, Wi-Fi passwords and the owner's mobile number belong in the booking confirmation, never in a page or file the bot reads.
Write the season into the answer, for example "The outdoor pool is open from May to September", so the bot answers correctly in February. On PepoChat's free plan a whole-site crawl counts as one of your five knowledge sources and Q&A pairs count as none, so a small property fits comfortably.
Can a hotel chatbot answer guests in their own language?
Yes. PepoChat's agent replies in the language the guest writes in and can answer from pages in another language, so English pages can answer a guest writing in Italian. Text you typed yourself does not switch: the greeting, the assistant's name and the suggested questions appear exactly as written.
The widget's interface is a separate setting. The Widget language menu, in the General Chat Settings card of Widget Customization, controls buttons, tabs, placeholders and status lines. On Auto (visitor's browser) it follows the guest's browser in seven languages (English, Spanish, French, German, Portuguese, Italian and Dutch) and falls back to English; you can also pick one language.
Three things go wrong across languages, and each has a fix:
- Policy wording. A paraphrased cancellation policy is a new promise: an answer that drops "after that, the first night is charged" has changed the policy. Add the instruction "When you explain a policy, keep every number, deadline and fee exactly as written."
- Times, dates and money. Write times as guests read them, such as "15:00 (3 p.m.)", write dates with month names, publish fees in your currency and forbid currency conversion under Never do this.
- Handoffs in other languages. The conversation reaches your team inbox in the guest's language and PepoChat does not translate it. The visitor panel shows the guest's browser language, so reply in plain English and say so, or use a translation tool.
The multilingual support guide covers translation and testing in more depth.
Can the chatbot check availability, book rooms or take payment?
No. As of October 2026, PepoChat has no integration with booking engines, property management systems or channel managers. Out of the box, the bot cannot see live availability or today's rates, cannot reserve or hold a room and does not take deposits, card details or payments; it answers the questions that come before a booking and sends the guest to your booking page to choose dates and pay.
The limit protects you. A bot that promised a room the channel manager had already sold, or collected a card number in a chat window, would create problems your front desk has to unwind. Set the bot up to hand over cleanly instead:
- Add a Q&A pair for "How do I book?" with your booking page address.
- Add to How to sound and behave: "When a guest asks about availability or prices for specific dates, give the booking page link."
- Add the hard limits under Never do this, from the rules section below.
- Send changes to an existing booking to your booking engine's manage-booking page, or to staff.
A developer could connect a read-only availability lookup as a custom action (custom actions can call any HTTPS API, GET requests included) if your booking engine has an API. PepoChat ships no such connector, and reservations and payments should never be wired as actions: execution is at least once, so a rare retry can repeat a write.
What happens when guests message at night?
The chatbot keeps answering at night; what changes is what it promises when a guest needs a person. In PepoChat the AI replies around the clock in every Team availability mode, and the mode sets that promise, the widget's status line and whether the bot asks for an email first.
| Team availability option | Fits | When a guest needs a person | Status line in the widget |
|---|---|---|---|
| My team answers in the chat | A desk that really watches the team inbox at all hours | The bot says a teammate will pick up shortly | "AI assistant · online" |
| My team answers during business hours | A reservations office with set hours | Inside hours the bot promises a teammate; outside them it gives your away message and asks for an email first | "AI assistant · team online", or "AI assistant · team offline, back Mon 9:00 AM" |
| No one answers live chat, we follow up by email | A host or small team that replies by email | The bot never promises a person, gives your away message and asks once for an email | "AI assistant · online" |
Behaviour as documented on 19 October 2026.
A staffed front desk is not a watched inbox, so pick My team answers in the chat only if someone is assigned to the team inbox at night.
Business hours take one opening and one closing time per day, with no overnight shifts, and the status line shows the reopening time in the guest's own time zone. The away message holds up to 300 characters, for example "Reception is staffed from 8:00 to 20:00. We reply to overnight messages by 9:00." Promise only a reply time you keep.
When nobody can reply, the guest's email keeps the enquiry alive. The bot asks for it once before handing over, and a Get a reply by email card stays above the message box until the guest leaves an address. Every workspace member gets an email headed "A visitor needs a person" with the last three messages and, when the address is known, a Reply by email button. Guests are not emailed when you reply in the team inbox, so answer by email; the human handoff docs list each message.

Vacation rental hosts already work to a clock: Airbnb's help centre defines a host's response rate as the percentage of new inquiries and reservation requests answered within 24 hours over the past 30 days, shown on the host's listing pages. Hold your own email follow-ups to the same 24 hours. The 24/7 support guide covers overnight routines, and the offline message examples offer 25 away messages.
How do you turn chat enquiries into direct bookings?
Answer first, and ask for contact details only when someone must follow up: a group or long-stay rate, an event, a special request or an existing booking. A guest who wants the parking answer should get it without a form.
Direct contact is part of why guests book direct. SiteMinder's Changing Traveller Report 2026, a survey of 12,000 travellers in 14 countries, found that 40% of US travellers book directly by website, phone or email (28% globally), and that a preference for direct communication (61%) was their second reason after flexibility with changes (66%), as reported in November 2025 by LODGING, the American Hotel & Lodging Association's magazine. In the same survey, 18% of travellers who start their search on an online travel agency (OTA), a booking site such as Booking.com or Expedia, end up booking directly with the hotel. SiteMinder sells hotel software, so read these as one vendor's survey.
For vacation rentals, trust weighs more than a discount. The Guestbook's 2026 short-term rental survey of 3,342 members of its cash-back rewards community, fielded 1 April to 5 May 2026 and not a probability sample, found that 86% had booked a rental directly with a host or were open to it. The top worry was whether the property is legitimate (62%), and the top comfort factor was a clear cancellation policy (70%), which a chatbot can quote accurately at the moment a guest hesitates.
In PepoChat, Lead Capture sets when the bot asks for details: before the first message, when the agent needs a follow-up, or just before a handoff. When the agent needs a follow-up suits most properties, because the bot then asks once, in one sentence, only when someone must come back to the guest. Tick name and phone as well as email for group enquiries; the lead capture docs show what guests see.
New contacts land on the Contacts page, and When a new lead arrives can post a Slack card or send a signed webhook on every plan, or email the team on Starter and Growth, each with a link to the conversation. For weddings and group blocks, PepoChat can also book a call with your events team on a PepoSmart scheduling calendar; that is a meeting, not a room reservation. The chatbot lead generation guide covers timing and routing.
What should a hotel chatbot never say?
A hotel chatbot should never confirm availability, quote nightly rates, promise exceptions, ask for card details, give out access codes or guess about accessibility. Write those limits in before launch and test them.
In PepoChat they go in the Never do this field of the agent instructions, up to 2,000 characters, and the agent declines such requests briefly. Lines to adapt:
- "Never say a room or date is available. Give the booking page link."
- "Never quote a nightly rate or a total for dates, and quote fixed fees only as written."
- "Never promise early check-in, late check-out, an upgrade or a refund. Say a team member will confirm."
- "Never ask for card details, and never give door codes, key-safe codes or Wi-Fi passwords."
- "Never say a room suits a disability unless the accessibility page describes the feature."
Accessibility answers need facts, not reassurance. US hotels must "identify and describe accessible features in the hotels and guest rooms" offered through their reservations service, in enough detail for guests with disabilities to judge for themselves, under 28 CFR 36.302(e), for reservations made by any means since 15 March 2012. Guests ask a chatbot the same question, so publish the details (step-free route, door widths, roll-in shower, grab bars) and let the bot quote them.
Service animals are the other trap: a bot that answers "no pets" can turn away a guest who has one. Under the ADA, a service animal is a dog individually trained to do work or perform tasks for a person with a disability, emotional support animals do not qualify, and pet fees and deposits must be waived for service animals, according to the Justice Department's service animal guidance, updated February 2020. State that rule on your pet policy page; other countries have their own assistance-dog rules.
Finally, tell guests they are chatting with an AI, in the assistant's name and in the greeting. The guide to chatbot disclosure laws covers where that is a legal duty.
How do you set up a chatbot for a hotel or vacation rental?
Plan an afternoon. In PepoChat the order is:
- Import your site. Under Knowledge Base, click Add New and add a sitemap import or a crawl, with an include filter for room, policy and area pages.
- Add documents and Q&A pairs. Upload house rules and guides as PDF or DOCX files, and add Q&A pairs under Text & Q&A.
- Write the agent instructions. In How to sound and behave, introduce the assistant as an AI and add the booking-page rule; paste your limits into Never do this.
- Set the greeting. Write the greeting and up to three suggested questions in your guests' main language, and leave Widget language on Auto (visitor's browser).
- Choose Team availability to match who really watches the inbox, with an away message you can keep.
- Turn on lead capture with When the agent needs a follow-up, plus a Slack card, a webhook or, on a paid plan, team emails.
- Install the widget with one script tag or the WordPress plugin, and add the Hosted chat page link from Widget Setup to booking confirmations. With an allowed-domains list, switch on Allow the hosted chat page first; the install docs show where.
- Test with the question table in Test the agent, in your main languages. Test chats are free, but bookings, actions and emails run for real.
For the first weeks, read the escalated conversations each morning and turn every question the bot missed into a Q&A pair.
What to do next
Mark which of the 20 questions your website already answers, and write the missing pages or Q&A pairs before you switch anything on. Then decide honestly who watches the inbox at night.
You can create a free PepoChat workspace and test everything first: every feature except new-lead emails to the team is on the free plan, with 200 AI replies a month, and the pricing page lists each plan's limits. If many guests write in other languages, read the multilingual support guide next; if your front desk also answers the phone, see the AI receptionist guide.
Frequently asked questions
- Can a chatbot on my hotel website answer check-in and parking questions?
- Yes. An AI chatbot can answer check-in and check-out times, parking, pets, cancellation, amenities, directions and other questions whose answers are on your website or in your house rules, at any hour. It should state the policy and hand specific requests, such as early check-in on a given day, to staff. Keep door codes and Wi-Fi passwords out of its knowledge base.
- Can an AI chatbot book hotel rooms or take payments?
- Only if it is connected to your booking engine. PepoChat is not: as of October 2026 it has no booking-engine, property management system or channel-manager integration, so it cannot check live availability, reserve or hold rooms, or take deposits and payments. It answers the questions that come before a booking and links guests to your booking page to choose dates and pay.
- Will a hotel chatbot reply to guests in their own language?
- Yes. PepoChat's agent replies in the language the guest writes in and can answer from pages written in another language, so English pages can answer a question in Spanish. The widget's buttons and labels follow the guest's browser in seven languages. Texts you type, such as the greeting and suggested questions, appear as written. Keep policy numbers exact and test your main languages before launch.
- What happens when a guest messages a hotel chatbot at night?
- The AI keeps answering at any hour. When a guest needs a person outside your business hours, or at any time with the email-only option, PepoChat gives your away message, asks once for an email and hands the conversation over; your team gets an email with the last three messages. Guests are not emailed when you reply in the inbox, so reply by email.
- Can I use an AI chatbot for my Airbnb or vacation rental guests?
- Yes, on your own direct-booking website. PepoChat's widget runs on websites and on a hosted chat page you can link from confirmation and pre-arrival emails; it does not reply inside Airbnb, Vrbo or Booking.com messages. Train it on your house rules, arrival guide and local guide, keep key-safe codes out of it, and use the email follow-up option if nobody watches live chat.
- How much does an AI chatbot for a hotel or vacation rental cost?
- Prices depend on the vendor and the billing unit. As of October 2026, PepoChat is free for 200 AI replies a month with every feature except new-lead emails to the team; Starter is $49 a month for 2,000 replies and three members, and Growth is $149 for 10,000 replies and ten members. Paid plans bill extra replies at $10 per 1,000.
