SaaS product support
Product support that answers from your docs and escalates with context
PepoChat reads your documentation site, your guides and your release notes, answers visitors with that content, and hands the conversation to your team when the question is a bug, an account issue or anything your docs do not cover. The handoff carries the whole conversation, so nobody asks the customer to start over.
It is built for support teams at software companies that already have decent docs and want them answering questions at 2 a.m., with bug reports landing in Jira, alerts landing in Slack, and the inbox showing exactly what the agent could not solve.
Every feature on the free plan · no credit card
Rendered from the widget's own markup with sample data; the conversations are the ones the agent is built for.
How it works
How a SaaS support team sets it up
- 1
Import your docs site
Open Knowledge Base, click Add New and paste the address of your docs. A sitemap import or a crawl brings in up to 200 pages, keeps only the main content of each page, and counts as one knowledge source. Pages are re-fetched weekly, so a changed doc reaches the agent without a re-import.
- 2
Add what the docs leave out
Upload PDFs, Markdown or DOCX files for runbooks and release notes, or connect Notion or Google Drive so those pages sync once a day. Write a Q&A pair for any question the docs answer badly; the agent uses it within moments.
- 3
Set the voice and the rules
Under Widget Customization, name the assistant, write the greeting and three suggested questions, and brief the agent in plain sentences: how to sound, and what it must never do, for example quoting a price that is not in the knowledge base.
- 4
Connect Jira and Slack
Under Integrations, add Jira with an API token and a project key so a bug report becomes a Task with the summary, the details and the visitor's email. Connect Slack so the agent can post an alert when a visitor reports an outage or a payment failure. Test each action with real inputs, then switch it on.
- 5
Install the widget
Paste one script tag before the closing body tag, or use the Next.js or React snippet from Widget Setup. Add your domains under Allowed domains so nobody can run your agent, and spend your replies, from another site.
- 6
Work the inbox
Escalated conversations email every member and appear under Conversations with the full transcript. Assign them, leave internal notes, reply as a person, and watch the Analytics topics for the questions you should write a doc about.

Answers that stay inside your documentation
The agent answers only from what you gave it. Every reply starts with a search of your workspace's knowledge base: the docs pages you imported, uploaded files, Q&A pairs, synced Notion or Drive pages and published Help Center articles. It does not browse the web and it does not answer from general knowledge about your product. When nothing relevant comes back, it says so and offers to bring in your team rather than guessing at an API parameter.
Docs sites suit the crawler. It keeps a page's main content and drops the navigation, sidebar, header, footer and cookie banner, so menu text never competes with the actual answer. A page behind a login or rendered only by JavaScript is seen the way an anonymous first request sees it; upload that content as a document instead.
Agent instructions shape the voice without touching the facts. 'Keep answers short and point to the relevant doc' goes in How to sound and behave; 'Never promise a release date' goes in Never do this. The base rules that keep the agent honest sit above both, so an instruction cannot make it invent an answer or skip the handoff.
Bug reports to Jira, alerts to Slack, tickets to your helpdesk
A bug report in the chat becomes a Jira issue with the visitor's email attached. With Jira connected, the agent writes a clear summary and the details, files a Task in the project you chose, and tells the visitor the issue key. There is deliberately no action for customers to check an issue's status: your tracker is for your team.
Slack and Discord take the urgent cases. When a visitor reports an outage, a failed payment or a request from a key account, the agent posts 'Support alert from' the visitor's name with a one or two sentence summary to the channel you picked, after it has escalated or resolved what it can. Discord alerts have mentions disabled, so nobody can make the bot ping everyone.
If your team lives in Zendesk, Freshdesk, Zoho Desk, HubSpot or Salesforce, the agent can create a ticket or case with a subject and the details, and in all of those but HubSpot check an existing one by number. Every action card has a Test button that runs the real request, and actions you add with a key start switched off until you flip them on.
A handoff your team can pick up
Escalation is quiet in the widget and loud for your team. When a visitor asks for a person, accepts the agent's offer of help, or something fails, the conversation turns escalated, the agent stops replying, and every workspace member gets an email with the visitor's name and email when known, the last three messages and an Open conversation button. At most one email per conversation every six hours, so a visitor who asks twice does not page the team twice.
In the inbox, the full transcript is there before anyone types. Assign the conversation to a teammate from its header, leave an internal note the visitor never sees, and use Enhance to tidy a draft before sending. Your reply shows up live in the widget under your display name.
Set Team availability to business hours and the agent stops promising a quick human reply outside them. It gives your away message with the day and time the team is back, and asks for an email address so you can follow up. The widget's status line flips between team online and team offline on its own.
What it does not do for a SaaS team
- Customers cannot check a Jira issue's status from the chat. The Jira integration creates issues only; checking status is for your team.
- The voice assistant runs on your own Vapi account with its own setup. It does not share the chat agent's knowledge base or tools, and voice calls are not saved as conversations in the inbox.
- The crawler reads what an anonymous visitor sees. Docs behind a login or a cookie wall need to be uploaded as files or synced from Notion or Google Drive.
- Stripe actions are find customer, check subscription status and cancel at period end. The agent does not upgrade, downgrade or refund, and refunds or payments should not be wired up as custom actions either.
- Analytics shows satisfaction votes and topics. There are no charts of conversation volume, resolution rate or reply usage; reply usage is on the billing page.
- PepoChat does not currently claim SOC 2 or ISO 27001 certification, a signed DPA template or a specific hosting region. Ask [email protected] before promising one to procurement.
SaaS product support: questions teams ask
- Can the agent answer from a docs site built with Docusaurus, GitBook or Mintlify?
- Yes, as long as the pages are public. Import the site by sitemap or crawl, up to 200 pages per import, and the crawler keeps each page's main content. Pages are re-fetched weekly and only changed pages are re-indexed.
- What happens when a customer reports a bug?
- If Jira is connected, the agent collects a summary and the details, creates a Task in your project with the visitor's email included, and tells them the issue key. It can also post a Slack or Discord alert for anything urgent, and it still escalates to your inbox when a person should follow up.
- Will it make up answers about features we do not have?
- No. The agent retrieves passages from your knowledge base for every reply and, when nothing relevant comes back, says it does not have that information and offers your team. You can add a Never do this rule such as 'Never promise a release date' for extra caution.
- How does the handoff reach our support engineers?
- Every workspace member is emailed when the agent escalates, with the last three messages and a link that opens the conversation. In the inbox you can assign it to one person, leave internal notes and reply as yourself; the reply appears live in the visitor's widget.
- Can we keep the widget off the marketing site and only show it in the app?
- Yes. Install the snippet only on the pages where you want it, and list your app's domain under Allowed domains so the widget refuses to start a conversation anywhere else. Subdomains of an allowed domain are included automatically.
- How many replies will a small SaaS need?
- An AI reply is one answer the agent generates; your team's replies, the greeting and system messages do not count. The Free plan includes 200 a month, Starter 2,000 and Growth 10,000, with $10 per 1,000 beyond that on paid plans. Test chats in the dashboard drawer are free.
- Does the agent know who the customer is?
- Chats start anonymous. A visitor can verify their email with a six-digit code, which unlocks pre-filled bookings and meeting memory, and the verified address shows on the conversation in your inbox. Integration lookups such as a Stripe subscription check are not gated by that verification, so keep their readable fields minimal.
