Sales teams
Book the meeting, capture the lead, and remember the last call
PepoChat answers a prospect's questions from your site and sales material, offers real openings from your connected calendar in the visitor's own timezone, and books the call in the chat. When a verified prospect comes back after a demo, meeting memory lets the agent recall what was discussed and connect their earlier questions to your current answers.
It is for sales teams that lose prospects in the gap between the first visit and the first call, and that want every booked meeting and captured lead to reach the right person without a form wall.

How it works
How a sales team sets it up
- 1
Give it your sales content
Import the website, upload pricing sheets, comparison PDFs and the sales FAQ. Write a Q&A pair for the objections you hear most, phrased the way prospects ask them.
- 2
Connect your PepoSmart calendar
Paste a PepoSmart API key under Appointments. Your meeting types load; switch on the ones the agent may offer, up to 12, and write a short 'when to offer this' note for each, for example 'Product demos for teams evaluating the Growth plan'.
- 3
Decide when to ask for contact details
Under Lead capture, choose a pre-chat form, a question when the agent needs a follow-up, or a question before handing off. Email is always collected; add name, phone and company as needed, with your own consent text underneath.
- 4
Get told about every new lead
Switch on an email to the team on a paid plan, a card in your Slack channel, or a signed webhook for Zapier, Make, n8n or your own endpoint. Each channel has a test button so you can see a sample lead land first.
- 5
Look up prospects in your CRM
Connect HubSpot or Salesforce so the agent can find a contact by email, and create a ticket or case when an account question needs a person. Both offer a one-click connection when the button is shown, or a key otherwise.
- 6
Turn on meeting memory
Under Plugins, open PepoSmart and enable Meeting memory. From then on, a returning visitor who verifies their email with a six-digit code can ask 'what did we discuss last time?' and get an answer drawn from your recorded meeting summaries.

Starter is $49 a month and Growth $149, in US dollars; yearly billing is ten months' price. Emailing the team about new leads is the one paid-only feature.
Booking from real availability
The agent offers a handful of slots, in the visitor's local time, from the next 14 days. It picks the meeting type from your 'when to offer this' notes, asks for a phone number first when the host calls the visitor, and books with the visitor's name and email, pre-filled if they verified their email in the chat. PepoSmart re-validates the slot, assigns a host (round-robin is supported), creates the meeting link and sends the confirmation and reminders.
If the slot went in the meantime, the agent offers alternatives. Prospects who would rather browse a calendar can tap Find a time, which opens the PepoSmart booking page inside the widget. Paid event types are never offered, and up to 2,000 characters of scheduling instructions let you say things like 'Only offer demos to prospects, not existing customers'.
Booking works on every plan, including Free.
Leads that reach the team the moment they arrive
A lead is any visitor who shares an email, whichever way it arrives: the pre-chat form, the agent's question, email verification or a booking. The first time a contact is captured, PepoChat can email every member, post a card to your Slack channel with an Open conversation button, and send a signed JSON webhook. Returning contacts update their row on the Contacts page and do not notify anyone again.
The webhook carries the contact's email, name, phone, company and source plus a link to the conversation, signed with HMAC-SHA256. Zapier, Make and n8n accept it as is, so pushing a lead into your CRM or a spreadsheet is a mapping step, not a build.
The agent asks for details in one short sentence, never as a form, and if the visitor declines it carries on helping. Set it to ask before a handoff and the team's escalation email always has an address to reply to.
Meeting memory for returning prospects
Meeting memory is off by default and needs two things: your workspace enables it under the PepoSmart plugin, and the visitor verifies their email in the chat. Without both, the agent shows no meeting information. With both, it asks PepoSmart for that person's relationship dates, key interests, commitments and meeting summaries, and uses only what is relevant to the current question.
It refers to meetings by date, acknowledges the notes the first time it uses them, and never invents verbatim quotes, because summaries are approximate. It can connect a pricing worry raised in a demo to your current plans in the knowledge base.
Raw transcripts, recordings, coaching scores and details about other attendees never cross into the chat. Every access is logged on both sides with the workspace and conversation, not the content.
What it does not do for a sales team
- Booking and meeting memory both run through a connected PepoSmart calendar. There is no direct connection to other scheduling tools, and meeting memory shows nothing until the visitor verifies their email in that session.
- The CRM actions are lookups and tickets. HubSpot's contact lookup reads the contact's name; Salesforce finds a contact and creates or checks a case. The agent does not create or update CRM contacts or deals directly; use the new-lead webhook or Zapier for that.
- Lead capture collects email plus, at most, name, phone and company. There are no custom form fields and no lead scoring.
- Emailing the team about new leads is the one paid-only feature. On Free, the Slack card and the webhook still work.
- Visitors get no email when you reply from the inbox; they see the reply when they reopen the chat in the same browser within their 24-hour session. For anything time-sensitive, reply by email to the address the agent collected.
- The agent offers up to 14 days of availability and never paid event types. Rescheduling or cancelling a booked meeting is not done from the chat.
Sales teams: questions teams ask
- How does the agent know which meeting type to offer?
- Each enabled meeting type has a short 'when to offer this' note you write, and the agent picks the type that matches the visitor's request. Scheduling instructions, up to 2,000 characters, add rules such as who should and should not be offered a demo.
- Does the prospect have to leave the chat to book?
- No. The agent shows a few openings in the visitor's timezone, the visitor picks one, and the booking is made in the host's timezone with a meeting link and confirmation emails from PepoSmart. A Find a time button opens the booking page inside the widget for people who prefer a calendar view.
- What does meeting memory actually recall?
- Relationship dates, key interests, commitments, meeting summaries and paraphrased extracts from that person's own meeting notes in PepoSmart. It is shown only to a visitor who has verified their email with a one-time code, and only if your workspace has switched the feature on.
- How do leads get into HubSpot or Salesforce?
- The agent can find an existing contact by email and create a ticket or case. For new leads, the signed new-lead webhook carries the name, email and conversation link, and the Zapier action carries name, email and details, to a Zap, Make or n8n scenario that creates the CRM record.
- Can we see leads without connecting anything?
- Yes. Everyone who shares an email appears on the Contacts page with name, phone, company, source and a link to their latest conversation, with a CSV export. The Slack card and the webhook work on every plan; the team email needs Starter or Growth.
- Will the agent pressure visitors for their email?
- No. It asks once, in one short sentence, and if the visitor declines or ignores the request it keeps helping and does not ask again. A pre-chat form is available if you want the address before the first message, with your consent text under it.
