AI Chatbot for Salons, Spas, Gyms and Studios: FAQs and Booking

The 20 questions salons, spas, gyms and studios get, how an AI chatbot answers them, and how booking works with Fresha, Vagaro, Mindbody or a calendar.

Short answer

An AI chatbot for a salon, spa, gym or studio answers the twenty questions the front desk hears daily, such as prices, treatment times, cancellation fees, gift cards, membership freezes and class times, from your price list and policies at any hour. As of October 2026, PepoChat has no Fresha, Vagaro, Mindbody, Glofox or Boulevard integration: it links to your booking page, books free consultations or trials on a PepoSmart calendar, or takes a request for the front desk.

A stylist has both hands in a client's hair at the basin when the phone rings. At 10 p.m. someone on your website wants to know whether you do balayage, how long it takes and what it costs, and a gym prospect wants the joining fee before tomorrow's trial. Each answer is written down somewhere, and nobody is free to give it.

The guide is for owners and managers of hair and beauty salons, barbers, nail and lash studios, day spas, gyms, and yoga, pilates, barre, dance and martial arts studios. It covers the 20 questions these businesses get, where each answer should live, four booking patterns, what each booking system's API allows, and setup and cost. Med spas and clinics have health privacy rules, covered in the clinic chatbot guide, and phone answering is a separate product, compared in the AI receptionist guide.

PepoChat is our product and the worked example. Its behaviour below was checked in its code and documentation on 22 October 2026, and every booking system's pricing and developer pages were read the same day.

What do salon, spa, gym and studio customers ask before they book?

Salon, spa, gym and studio customers ask roughly the same 20 questions before they book, about prices, timings, policies, access, gift cards, memberships and classes, and a chatbot can finish most of them from pages you already have.

An AI support agent is a chatbot that answers from your own knowledge base, the pages and files you give it, and hands the conversation to a person when it cannot help. The table shows where each answer should come from and who gives it.

Of the 20, thirteen end in the chat, three need staff to finish a freeze, a cancellation or a medical question, two need the live diary, and two belong to a person from the first message.

Where should a salon chatbot's answers come from?

A salon chatbot's answers should come from four places: a price list written as text, one policies page, a page of opening hours, classes or memberships, and Q&A pairs for the exceptions your staff explain every week.

Start with the price list, the answer most likely to be hidden. If your services and prices appear only inside an embedded booking widget, open View Page Source and search for one price. PepoChat's importer reads the published HTML without running scripts and drops iframes, so a menu drawn by a script or shown in an iframe never reaches the knowledge base. Publish the menu as text with "from" prices and durations, or upload it as a PDF, Word file or CSV; uploading a file with the same name later replaces the old version.

Put cancellation, late-arrival, deposit, no-show, refund and gift card rules on one policies page, with the numbers spelled out. "Cancellations with less than 24 hours' notice are charged 50% of the service" can be quoted; "a fee may apply" cannot. PepoChat re-fetches website pages weekly, so press Sync website pages after any price or policy change.

Class timetables need a split. A weekly timetable that rarely changes can be a page the chatbot reads, but whether tonight's 6 p.m. class has a free spot changes by the minute, so give the chatbot the link to your live schedule instead of a copy of it.

Then write the exceptions as Q&A pairs. A Q&A pair is a question written the way customers ask it, stored with your answer, so retrieval matches their wording: patch tests before colour, minimum ages, late arrivals, bringing a child, guest passes. In PepoChat, Q&A pairs do not count as knowledge sources, and a Free workspace holds 100 of them.

Questions that touch health get your published policy and then a person. If your rule is "pregnancy massage from the second trimester", the chatbot quotes it; "is it safe with my back condition?" goes to staff, and the "Never do this" rules below make the agent decline to advise.

Can an AI chatbot book appointments in Fresha, Vagaro or Mindbody?

An AI chatbot can book into Fresha, Vagaro or Mindbody only through an integration or the system's own API, and as of October 2026 PepoChat has no native integration with any of them, nor with Glofox or Boulevard.

Four patterns remain, and most businesses combine two.

PatternWhat the visitor getsBest forLimits
1. Link to the exact booking pageA link that opens one service, stylist, class or membership in your booking systemEvery paid service and classThe visitor finishes outside the chat; the chatbot never sees your diary
2. Book on a connected PepoSmart calendarReal open slots in the chat, booked, confirmed and remindedFree consultations, patch tests, trial classes, gym toursPaid types are never offered; slots come from PepoSmart, not your main diary
3. Take a request for the front deskName, email and phone collected; your team repliesBridal parties, group spa days, multi-service bookingsSomeone has to reply, by email or phone
4. Custom action on the booking system's APIA live answer in the chat, such as open spots tonightSystems with an open API and a developer to set it upAccess rules vary; keep it read-only

PepoChat behaviour as checked on 22 October 2026.

A deep link is a booking link that opens one service, stylist, location or membership instead of your whole menu. In Fresha, Direct links under Online presence create links for chosen services, locations, team members, memberships or packages. Fresha's pricing page lists a one-time 20% commission, at least $6, on new clients found through its marketplace, and no fee on clients who book through your own links. Vagaro and Mindbody include embeddable booking widgets in every plan, according to their pricing pages, so link to the page that holds the widget.

Put each link in a Q&A pair such as "How do I book balayage?", and the chatbot hands it over the moment someone asks.

2. Book a free consultation or trial on a PepoSmart calendar

PepoChat's built-in booking connects only to a PepoSmart scheduling calendar, with an API key, and suits the free appointments that start a relationship: a colour consultation, a patch test, a trial class or a gym tour. You switch on up to 12 meeting types, each with a "when to offer this" note. The agent offers real slots up to 14 days ahead in the visitor's time zone and asks which location when a type has several; PepoSmart re-checks the slot, confirms it and sends reminders, and a Find a time button opens the full booking page inside the chat.

Three limits matter. Paid event types are never offered, so anything with a deposit stays in your main booking system. The agent cannot cancel or move a booking. And PepoChat reads only PepoSmart's availability, not your Fresha, Vagaro or Mindbody diary, so give consultations hours of their own or block them in both calendars. The booking docs list each step, and the appointment booking guide covers time zones and double booking.

3. Take a request for the front desk

For bridal parties, group spa days, corporate memberships or several services in one visit, let the chatbot collect the request instead of guessing availability. Lead capture asks for an email plus, if you tick them, name, phone and company; new leads can post to Slack or a webhook on every plan, or email your team on Starter and Growth.

4. Call the booking system's API with a custom action

A custom action is a call from the chatbot to another system's HTTPS API, made with your own key and up to 10 inputs the agent collects from the visitor. It needs a developer and an API your booking system will open to you. PepoChat runs actions at least once, so a rare retry can repeat a write, and actions run whether or not someone is a verified visitor, so no action should return a member's bookings to whoever types a name. Use custom actions for read-only lookups, such as open spots in tonight's classes, and leave bookings and cancellations to the booking page; the custom actions docs list the limits.

A row of barefoot people in leggings holding rolled pink yoga mats, standing on a pale floor in a bright studio
Who has a spot in tonight's class changes by the minute, so the chatbot links to the live schedule and answers the questions around it: which level, what to bring, when to arrive.

Which salon and gym booking systems have an API a chatbot can use?

Of six booking systems checked on 22 October 2026, Mindbody, Glofox, Boulevard and Square document APIs that create bookings, Vagaro's public API reads availability but creates none, and Fresha documents no public booking API.

Booking systemDeveloper APICreates bookings? How you get access
FreshaNo public booking API; the Data connector is a one-way export to Snowflake for reportingNoFresha's partner terms say it may supply "other APIs" to affiliates and third parties
VagaroPublic API and webhooksNo: it searches availability and reads services and appointmentsRequest under Settings, Developers, APIs & Webhooks; about 5 business days of review
MindbodyPublic API v6Yes: classes and appointmentsFree sandbox; Mindbody approves go-live; the business owner activates it with a code or link
Glofox (ABC Fitness)REST APIYes: class bookingsRequest in the ABC Fitness developer portal as the account's superadmin; live access is reviewed
BoulevardAdmin API and Client APIYes: appointments, memberships and gift cardsCustom applications are limited to Enterprise customers
Square AppointmentsBookings APIYes; full calendar writes need Appointments Plus or PremiumOpen to all sellers for bookings the app itself created

API facts from each vendor's developer documentation, checked 22 October 2026.

Access differs more than the endpoints. Mindbody's developer portal publishes its prices: free for developers under 5,000 calls a billing cycle, otherwise $0.002 a call for site access. Vagaro's getting-started page puts the request behind a contact form, and Boulevard's Admin API overview sends developers to their Boulevard partner contact.

A chatbot that books through an API also takes on deposits, card details and client identity, which the booking page already handles, so most salons and studios get further with good deep links.

Should you use your booking system's own AI receptionist instead?

Use your booking system's own AI receptionist when most messages are "book me in": as of October 2026, Fresha, Mindbody and Boulevard sell AI front desks that work inside their own calendars, which a website chatbot without an integration cannot do.

Booking systemIts own AIWhat it doesPrice listed

MindbodyAI Concierge and Messenger[ai]Turns missed calls into bookings; text, Facebook and web chat; takes booking requests and sells packagesAI front desk in Ultimate, an add-on on Accelerate, not on Starter; plans from $79 a month per location

VagaroVera, AI assistantMarketing, filling open slots, writing descriptions, client communicationIncluded in every plan

The difference is where the assistant lives and what it reads. Fresha's help centre describes AI Concierge working in Fresha's own Client Connect messages, with a knowledge base of answers you add to frequent questions. A website chatbot answers on your own site from your pages, documents and Q&A pairs, and hands over to your team inbox.

What should a gym chatbot say about memberships and cancellations?

A gym or studio chatbot should explain membership prices, joining fees, freeze rules, notice periods and the cancellation steps from your published terms, and pass every actual freeze, cancellation, refund and billing dispute to a person.

A membership freeze is a pause in billing and access for a set period, usually with a minimum and maximum length and sometimes a fee. Write those numbers on your terms page: how long a freeze can last, what it costs, how much notice cancellation needs and whether the final month is billed. The chatbot then answers "Can I freeze for a month?" exactly and links the form or account page where the member does it.

Do not let the chatbot stand between a member and a cancellation. In the US, the Federal Trade Commission's 2024 "click-to-cancel" rule was vacated, and in March 2026 the agency asked for public comment on rules for recurring plans, including practices that deter cancellation. Rules differ by country and state, and this is information, not legal advice. Give the steps the first time someone asks, and put the hard limits in PepoChat's Never do this field:

Never cancel, freeze or change a membership, and never say a request has been processed. Give the steps on our membership terms page and offer to pass the request to the front desk.
Never offer discounts, free months or deals that are not on our website.
Never try to talk a member out of cancelling. Give the cancellation steps the first time they ask.
Never confirm whether a named person is a member, or discuss anyone's bookings, payments or account.
Never give medical, injury or diet advice. Quote our published policy and suggest asking a doctor or one of our trainers.

The field takes up to 2,000 characters, and the agent declines those requests and offers what it can do instead. For billing disputes, refunds on unused class packs and questions about a member's own account, the agent offers a person, and the human handoff puts the transcript in the team inbox.

How should a salon chatbot sound, and can it answer in Spanish?

A salon chatbot should sound like your front desk on a good day, and it can answer in Spanish: PepoChat's agent replies in the language the visitor writes in, and the widget's own buttons follow the browser in seven languages.

Write the voice in How to sound and behave, which takes up to 4,000 characters: "You are the AI assistant at Studio North. Be warm and brief, and end every answer with the next step: a booking link, a price or one question." Put "AI" in the assistant name, which takes up to 40 characters, so nobody mistakes it for a stylist. Use the three suggested questions for your top asks, such as "How much is a cut?", "Do I need a patch test?" and "Where do I park?".

The widget's text follows the visitor's browser in English, Spanish, French, German, Portuguese, Italian or Dutch, while your greeting, suggestions and assistant name appear exactly as you typed them. Prices and policies come from your sources in their original language, so check one answer in each language you expect before launch; the multilingual support guide has a test routine.

Photos need a rule of their own. Visitors can attach up to three images to a message, as PNG, JPG, WebP or GIF files of up to 5 MB, and the agent sees them; PepoChat deletes them a week after upload. Whether a colour in a photo suits someone's hair is a stylist's call, so have the agent take contact details and hand over rather than promise a result. The agent replies in text and links, so send people to your gallery or Instagram page to see your work.

What should the chatbot do after hours, and can it reduce no-shows?

After hours, the chatbot keeps answering prices and policies and tells visitors honestly when a person will reply; it reduces no-shows only indirectly, by quoting your deposit and cancellation rules before anyone books.

PepoChat's Team availability setting has three modes: "My team answers in the chat", "My team answers during business hours" with a weekly schedule, and "No one answers live chat, we follow up by email", which suits a solo nail technician or a trainer who is always with a client. Outside your hours, or always in the email mode, the agent gives your away message of up to 300 characters and asks once for an email before it hands over:

The front desk is closed until 9:00 tomorrow. You can book online any time with the Book now button. Leave your email and we will reply by 11:00.

Replies typed in the team inbox are not emailed to the visitor, so answer next-morning requests by email. The offline message examples offer 25 more away messages.

Reminders and confirmations belong to the system that holds the booking, whether that is your salon or gym software or, for chat bookings, PepoSmart. The chatbot's part comes earlier: it quotes your deposit and late-cancellation rules before someone books, and sends "I need to move my appointment" to your manage-booking link or the front desk, because it cannot move or cancel appointments itself.

To see how much of your chat arrives after closing, export conversations to CSV from the team inbox and count the created-at times outside your opening hours. Your own count beats any industry average.

How do you set up a salon or gym chatbot, and what does it cost?

Setting up a salon or gym chatbot takes an afternoon, mostly writing, and costs $0 on PepoChat's Free plan for 200 AI replies a month or $49 a month on Starter for 2,000, as of October 2026.

  1. Write four pages: a price list with durations, a policies page, a location and parking page, and a memberships or classes page.
  2. Import the site under Knowledge Base → Add New: a crawl of up to 200 pages, 3 levels deep, counts as one knowledge source. Upload the price list as a file if it lives only in your booking widget.
  3. Add 20 Q&A pairs, including one per deep link, such as "How do I book a gel manicure?".
  4. Write the voice and the rules under Widget Customization: an assistant name with "AI" in it, the greeting, three suggested questions and the "Never do this" block.
  5. Choose the booking pattern: paste a PepoSmart API key under Appointments and switch on one free type, or rely on deep links.
  6. Set Team availability and lead capture, with phone ticked if your desk calls people back.
  7. Install the script tag in your site's footer setting; the Wix and Squarespace guides show where, and WordPress has a plugin. If your website is built inside your booking system, check that it accepts a script tag first.
  8. Test in the drawer: ask the 20 questions in Test the agent. Test chats are free, but bookings made there are real.

PepoChat counts AI replies. The conversation sizing guide starts from two replies per conversation, which puts Free at about 100 conversations a month and Starter at about 1,000. When Free's 200 replies run out, new conversations go to your team inbox with a friendly message; on paid plans, replies past the allowance cost $10 per 1,000 and keep flowing, because there is no spending cap.

Every feature is on the free plan except new-lead emails to the team, and no credit card is needed to start; the pricing page lists the paid plans.

What to do next

  • Mark the 20-question table: which answers your website already gives as text, and which need a page or a Q&A pair.
  • Make one deep link per popular service, class or membership, and decide which free first appointment, if any, belongs on a PepoSmart calendar.
  • Create a free PepoChat workspace, import your site and ask the 20 questions in the test drawer before a client sees them.
  • If most of your enquiries arrive by phone, read the AI receptionist guide before choosing a channel.

Frequently asked questions

Can an AI chatbot book salon appointments?
Yes, if it is connected to a calendar or to your booking system's API. As of October 2026, PepoChat books only into a connected PepoSmart calendar, which suits free consultations, patch tests and trial classes, and it never offers paid services there. For services in Fresha, Vagaro or Mindbody, the chatbot sends a link to the right booking page or takes a request for your front desk.
Does an AI chatbot work with Fresha, Vagaro or Mindbody?
It works alongside them rather than inside them. As of October 2026, PepoChat has no Fresha, Vagaro, Mindbody, Glofox or Boulevard integration and links visitors to those booking pages instead. Mindbody's public API can book classes and appointments, Vagaro's reads availability but creates no bookings, and Fresha documents no public booking API, so a developer-built custom action works only where the API allows it.
What questions can a gym chatbot answer?
A gym chatbot can answer membership prices, joining fees, contract length, freeze rules, notice periods, guest passes, opening hours, parking, class descriptions, what to bring and intro offers, all from your published terms and pages. It should link to the live class schedule for free spots, and hand actual freezes, cancellations, refunds and billing disputes to staff instead of handling them itself.
How much does a salon chatbot cost?
A website chatbot such as PepoChat costs $0 for 200 AI replies a month, or $49 a month on the Starter plan for 2,000 replies, as of October 2026. Booking systems also sell their own AI front desks: Fresha's AI Concierge lists $29.95 a month per location for messages and $99.95 with calls, and Mindbody includes an AI front desk in its Ultimate plan.
Can the chatbot answer in Spanish?
Yes. PepoChat's agent replies in the language the visitor writes in, including Spanish, even when your price list and policies are written in English, and the widget's buttons switch to Spanish when the visitor's browser is set to it. Your greeting and suggested questions appear exactly as you typed them, so test a few Spanish answers, especially prices and policies, before launch.
Will the chatbot replace my front desk?
No. A chatbot takes the repeat questions, such as prices, timings, policies, parking and gift cards, at any hour, and collects requests while your team is busy or closed. Colour consultations, complaints, refunds, membership cancellations, billing disputes and anything medical still need a person, and the chatbot's job there is a clean human handoff with the visitor's contact details.
