Short answer

As of November 2026, the best AI chatbot with appointment booking depends on the calendar you already use. Chatbase books Calendly or Cal.com slots inside the chat from $40 a month. PepoChat books through its sister scheduler PepoSmart, with host assignment, video links and reminders, on a free plan. Jotform AI Agents books into Google Calendar and has a free plan. HubSpot suits teams on its CRM, and Rosie books by phone from $149 a month.

A chatbot that replies "here is our booking link" has not booked anything. The visitor still leaves the chat, opens a calendar page and types their details again, and plenty of them stop halfway. An AI chatbot with appointment booking is a chatbot that checks live availability, offers real times in the conversation and creates the appointment on your calendar when the visitor says yes.

This comparison is for clinics, salons, agencies, consultants and trades choosing a chatbot that books from their website. "Best" here means it books into a real calendar inside the chat, shows the visitor's own time, cannot double-book and sends a confirmation and reminder, at a small-business price.

PepoChat is our product; we include it where it fits and say where other tools are the better choice. Facts below were checked on vendor pages on 4 November 2026. For the mechanics behind booking, see our guide to AI chatbot appointment booking.

Which AI chatbots book appointments inside the chat? Quick comparison

Six of the eight tools below can finish a booking without the visitor leaving the conversation; HubSpot usually shares a meetings link, and Tidio's Calendly template sends one.

How we chose these booking chatbots

We read each vendor's pricing page, help center and integration docs on 4 November 2026 and compared them on the criteria below. Where a vendor's documentation is silent on a point, the table says so instead of guessing.

  1. Books in the chat or sends a link. In-chat booking is when the bot fetches open slots, the visitor picks one in the conversation and the bot creates the appointment. A booking link hands the visitor to a separate scheduling page, which loses more people.
  2. Live availability. The bot should read your real calendar, including events you added by hand.
  3. Time zones. Slots should appear in the visitor's own time, converted in code, not by the language model.
  4. No double booking. Double booking is two appointments landing in the same slot; the defence is the calendar re-checking the slot when the booking arrives.
  5. Reschedule, cancel and reminders. Someone has to send them: the bot, the calendar, or nobody.
  6. Which calendar, at what price. Calendly, Cal.com, Google Calendar, HubSpot or a vendor's own scheduler, and the plan where booking starts.

We left Voiceflow out: its documentation lists no native calendar tool, so booking means wiring a calendar API yourself, which Botpress covers with ready integrations. Three helpdesk and live chat tools have booking features that matter mainly if you already run them, per their own pages on the same day: Intercom's Fin "uses prebuilt Cal.com templates to help customers with their bookings"; Zoho SalesIQ's Zoho Bookings integration lets customers book "right from within the chat window" on Professional and Enterprise; Chatwoot's Cal.com tools find bookings and open slots but do not create bookings.

1. Chatbase: best for booking into the Calendly or Cal.com you already use

Chatbase is an AI agent builder whose Calendly and Cal.com actions read live availability and book the chosen slot inside the chat, which makes Chatbase the best pick for a team that already schedules with either tool.

Pricing: As of November 2026, Hobby is $40 a month ($32 billed yearly) for 700 message credits, with Calendly listed on Hobby; Basic is $150 for 4,000 credits and Business $500 for 15,000. Extra credits cost $40 per 1,000. There is no free plan, only a 7-day trial. Booking burns credits faster than chatting: Chatbase's pricing FAQ says a calendar action means one model request to fetch slots and a second to reply, "2x the number of credits".

Strengths: Chatbase's Cal.com action docs say "The AI agent shows the open slots, the customer picks one, and the booking lands on your Cal.com calendar." Cal.com works from the event URL alone; Calendly needs the account connected first. An "Only use in Procedures" switch can keep booking inside a scripted flow.

Limits: Booking works only in the Chat Bubble, Help Page and Center Stage channels, not on WhatsApp or Instagram. The docs say nothing about time zones, rescheduling or cancelling, so those live on the scheduler's side; Calendly's help center says invitees change or cancel through links in its email notifications, switched on per event type. The team inbox starts on Basic at $150.

Verdict: The shortest route to real in-chat booking if your calendar is already Calendly or Cal.com.

2. PepoChat: best for a full booking flow and support inbox on a free plan

PepoChat is an AI support agent for websites that books meetings through PepoSmart, a scheduler from the same company, and PepoChat is the best pick when you want booking, a team inbox and human handoff together on a free plan.

Pricing: Free is $0 with 200 AI replies a month and every feature, booking included. Starter is $39 a month or $390 a year for 2,000 replies; Growth is $149 or $1,490 for 10,000; extra replies cost $10 per 1,000. One answer counts as one reply, however many calendar calls happen inside it. PepoSmart is billed separately: PepoSmart's pricing page lists a free Basic plan, with round-robin from $6 a user a month on Starter after a 12-month free trial.

Strengths: You switch on up to 12 meeting types, each with a "when to offer this" note. The agent checks real availability up to 14 days ahead, shows slots in the visitor's local time and books in the host's, as the appointment booking docs describe. PepoSmart respects Google and Outlook busy times, re-checks the slot at booking, assigns a host (round-robin supported), creates the Google Meet, Zoom or Teams link and sends confirmations and reminders. Paid event types are never offered. Optional meeting memory recalls a verified visitor's past meetings.

Limits: Booking works only through PepoSmart. There is no direct Calendly, Cal.com or Google Calendar booking integration, so a Calendly team would have to move its booking pages. The agent cannot move or cancel a booking; the visitor uses the links in PepoSmart's confirmation email. The chat runs in the website widget today (WhatsApp and Messenger in limited rollout, no phone), and PepoChat is a young product with few public reviews and no published compliance certifications.

Verdict: The most complete booking flow on a free plan, provided PepoSmart can be your scheduler.

3. Jotform AI Agents: best low-cost booking into Google Calendar

Jotform AI Agents is an AI agent builder from the online-form company that books appointments straight into Google Calendar, and Jotform AI Agents is the lowest-cost way here to book into Google Calendar without building the flow yourself.

Pricing: As of November 2026, Jotform counts AI agent conversations, chat and phone together. The free Starter plan has 5 agents and 100 conversations a month; Bronze is $39 a month ($34 billed yearly) for 1,000; Silver is $49 ($39) for 2,500; Gold is $129 ($99) for 10,000.

Strengths: The "Set Appointment with Google Calendar" tool books into a calendar you choose, with slot length, gaps, a lunch block, minimum notice, a daily cap and a default time zone, per Jotform's Google Calendar setup guide. Jotform's appointment-setter page says the agent "will see that blocked time and won't offer it" when you add an event outside Jotform, and can send "a reminder 24 hours before the meeting". The same agent can run on your website, SMS, WhatsApp, Messenger and phone calls.

Limits: Google Calendar is the only native booking calendar we found, and Jotform does not say which plans include the calendar tool. The setup guide does not cover rescheduling or cancelling through the agent, or routing between hosts. Every self-serve plan is single-user, so colleagues need Enterprise, and voice minutes are capped from 50 a month on Free to 300 on Gold, shared between web voice and phone calls.

Verdict: The best value for a one-person business whose diary is Google Calendar.

The front desk is where booking requests pile up between clients. A chatbot that books into the real calendar takes those requests off the counter.

4. HubSpot: best for teams whose CRM already runs on HubSpot

HubSpot is a CRM suite whose chatbots and customer agent offer meetings from HubSpot's own scheduling tool, which makes HubSpot the best fit when every booking should land on a contact record your sales team already uses.

Pricing: The free tools include one personal scheduling page with HubSpot branding. Team and round-robin pages need Sales Hub or Service Hub Starter or higher, with a seat per host; Service Hub Starter is listed at $7 to $20 a seat a month. The customer agent needs Professional or Enterprise: the cheapest route is Smart CRM Professional at $50 a seat a month ($45 billed yearly) with 3,000 credits, while Service Hub Professional is $90 to $100 a seat plus a one-time $1,500 onboarding fee. The agent spends 50 credits ($0.50) per resolved conversation.

Strengths: Meetings sync to a connected Gmail or Office 365 calendar and land on the CRM record. HubSpot's scheduling pages guide describes up to three reminder emails per page, a "Cancel and reschedule" switch that adds change links to the event, and a time zone dropdown for visitors.

Limits: The rule-based bot's "Book a meeting" action shares a meetings link. HubSpot's bot actions guide says times appear as quick replies in the chat only when the link asks for nothing beyond first name, last name and email, those are collected first, and CAPTCHA and the data privacy switch are off; otherwise the visitor goes to the booking page. The customer agent routes qualified leads to a meeting link, and the docs do not say it completes the booking in chat.

Verdict: Worth it when HubSpot is already your CRM.

5. Landbot: best for a guided booking funnel with Calendly

Landbot is a no-code chatbot builder whose Calendly block lets a visitor book a meeting without leaving the chat, so Landbot suits teams who want a button-led booking funnel rather than an open-ended conversation.

Pricing: As of November 2026, the Calendly block is on Professional and Business. Professional is €100 a month (€80 billed yearly, excluding tax; $110 and $88 for US accounts) with 2,500 chats and 300 AI chats, then €0.10 per extra AI chat; Business is custom. Free has no AI chats, and Starter is €40 a month.

Strengths: Landbot's help article on the Calendly block says "The Calendly block lets a user book a meeting with you without leaving the conversation," using your connected Calendly account's availability. The block can pass the visitor's name and email to Calendly, map fields to Calendly's extra questions and save the event type and times for later steps.

Limits: The block is a flow step that Landbot's AI Agent block cannot call itself, and it is "compatible with Web only", so the WhatsApp and Messenger bots cannot book this way. Calendly is the only scheduler, with Google Calendar syncing through it. The block's "Event canceled" branch covers visitors who skip it, not people who cancel later in Calendly, and reminders and changes stay on the Calendly side.

Verdict: A tidy guided funnel for Calendly users who prefer buttons to free-form AI.

6. Botpress: best for developers who want to build booking themselves

Botpress is an AI agent platform where you assemble the booking logic yourself, and its official Google Calendar integration makes Botpress the best pick for a team that wants full control, including moving and cancelling bookings from the chat.

Pricing: As of November 2026, Free is $0 with 100 conversations and no top-ups. Plus is $189 a month ($150 billed yearly) for 250 conversations, with 100-conversation packs at $65 and $25 of AI spend included. Team is $939 ($750 yearly) for 1,500, with packs at $50 and $150 of AI spend.

Strengths: Botpress's Google Calendar integration lets a bot "check availability, and create, list, update and delete events on a connected calendar", so a flow can find free slots, book one and later move or cancel it, which none of the other chat tools here documents. Separate Calendly and Cal.com integrations can book events too, and the Calendly one lets the bot react to bookings, cancellations and no-shows. Botpress does not say which plans include these integrations.

Limits: Nothing books out of the box: you design the flow, the confirmation and the re-check that prevents double booking. Google Meet links and attendee invitations need a Google Workspace account, and invitations also need domain-wide delegation. Reminders and round-robin are yours to build.

Verdict: The most flexible option, for teams with a developer and a reason to own the whole flow.

7. Rosie: best for booking appointments over the phone

Rosie is an AI phone receptionist for small businesses that answers calls and books appointments into Google Calendar or Calendly, and Rosie is the pick when your bookings arrive by phone rather than through your website.

Pricing: As of November 2026, Professional is $49 a month for 250 minutes and texts callers a booking link instead of booking; Scale is $149 for 1,000 minutes and is where calendar booking starts; Growth is $299 for 2,000 minutes. Annual billing gives two months free, and there is a 7-day free trial.

Strengths: The FAQ on Rosie's pricing page says Rosie "integrates directly with Google Calendar and Calendly" and, when a caller wants an appointment, "checks your availability, offers available times, and creates the event automatically in your calendar." Rosie answers in English or Spanish.

Limits: It is built for the phone. A website chat widget is free on every plan, but the pricing page does not say it books, and website texting is a $50-a-month add-on for 25 conversations. Booking needs Scale at $149. The pricing page does not explain rescheduling, reminders or overage minutes, so ask before you buy.

Verdict: Add it next to a website chatbot if booking calls go to voicemail; our AI receptionist guide compares phone options in more depth.

Tidio is a live chat tool with an AI agent called Lyro, and for appointments Tidio shares a Calendly link rather than booking inside the chat, which suits teams whose visitors are happy to finish on a calendar page.

Pricing: As of November 2026, Free includes 50 billable conversations a month and a one-off 50 Lyro conversations; Starter is $29 a month ($24.17 billed yearly), Growth starts at $59 ($49.17) and Plus at $300 plus usage. Lyro alone costs $39 a month for 50 AI conversations ($32.50 billed yearly). Tidio's help center says the Lyro Action templates, including the Calendly "Book a call" template, are available on Plus and Premium and to "selected subscribers" of the Lyro AI Agent package.

Strengths: With the template, Lyro "connects with Calendly API and is able to provide your chat visitor with the appropriate link", in the help center's words. On any plan, a Flow can put a booking-page link on a button. Tidio's strength is the live chat inbox where your team answers.

Limits: A link is not a booking: the visitor finishes on Calendly's page, outside the conversation. The AI template sits on Plus at $300 a month or in a limited rollout.

Verdict: Fine when a link is enough; choose another tool if the booking must happen inside the chat.

Which booking chatbot should you choose?

Start from where your calendar lives and where your customers ask.

Industry matters too. A clinic should check privacy rules before any chatbot books a patient; our clinic and dentist chatbot guide covers when to book in chat and when to link to a patient portal. Salons and gyms often book in Fresha, Vagaro or Mindbody rather than a general calendar, so read the salon and gym chatbot guide before you switch. Trades should book estimate visits, not repairs, as the home-services chatbot guide explains.

What should you ask a vendor before a chatbot books for you?

Ask how the booking is protected at the moment it happens, because failures appear when two people chat at once.

  • Does the calendar re-check the slot when the booking arrives? If the bot books from a list fetched minutes earlier, two visitors can take the same time. PepoSmart re-validates; for the others, ask.
  • Where does the time zone conversion happen? The safe answer is "in code, before the model sees the slots".
  • What happens when booking fails? The bot should say so and hand the visitor to a person with the transcript.
  • Can it book paid appointments? It should not. PepoChat excludes paid event types; elsewhere, untick them.
  • Who sends reminders? Usually the calendar, so check that your scheduler plan includes them.

Then book three test appointments yourself, including one from another time zone.

Many small businesses still keep bookings in a notebook and a phone. A booking chatbot only helps once it reads the same calendar your team trusts.

How much does an AI booking chatbot cost at 500 and 2,000 conversations a month?

At 500 conversations a month the chat tools we could price run from $39 to about $384, and at 2,000 from $49 to about $1,190.

Assumptions: three AI replies per conversation; for Chatbase, one more credit per conversation for the calendar action on a 1-credit model; for HubSpot, one Smart CRM Professional seat at $50 and half of conversations resolved by the agent; for Landbot, every chat uses the AI; monthly list prices and the cheapest plan that includes booking. These are estimates, not quotes.

Booking adds no line item anywhere, but it changes how fast the meter runs: in Chatbase each calendar action is an extra model request, while PepoChat charges one reply per answer and Jotform counts the conversation. For PepoChat, add PepoSmart's own subscription: PepoSmart lists a free Basic plan and round-robin from Starter at $6 a user a month, so check its pricing page for the plan your setup needs.

Frequently asked questions

Can an AI chatbot book appointments?
Yes. An AI chatbot can book appointments when it is connected to a scheduling calendar: it fetches live availability, offers a few times in the visitor's time zone and creates the booking when the visitor picks one. Among the tools we compared in November 2026, Chatbase, PepoChat, Jotform AI Agents, Landbot and Botpress can book inside the chat, while HubSpot and Tidio mostly share a booking link.
Which AI chatbot works with Calendly?
Chatbase, Landbot, Botpress and Tidio connect to Calendly. Chatbase's Calendly action reads live slots and books inside the website chat from its $40 Hobby plan. Landbot's Calendly block books without leaving the chat on its Professional plan. Botpress has a Calendly integration you build into a flow, and Tidio's Lyro template shares a Calendly link. PepoChat books through PepoSmart, not Calendly.
How does a booking chatbot avoid double booking?
The calendar re-checks the slot at the moment the booking arrives instead of trusting the list it showed earlier. Two visitors can chat at once, or a colleague can fill a slot by hand while someone types their name. PepoSmart re-validates every booking PepoChat's agent makes and the agent offers alternatives if the slot was taken; ask other vendors how their calendar handles it.
Can a chatbot reschedule or cancel appointments?
Most cannot do it inside the chat. In PepoChat the visitor uses the reschedule and cancel links in PepoSmart's confirmation email, and Calendly-based bots such as Chatbase, Landbot and Tidio leave changes to Calendly. HubSpot adds change links to the event when you switch them on. Botpress is the exception: its Google Calendar integration can update and delete events, so a developer can build it.
Is there a free AI chatbot that books appointments?
Yes. As of November 2026, PepoChat's free plan includes booking with 200 AI replies a month, with PepoSmart billed separately on its own plan. Jotform AI Agents has a free plan with 100 conversations a month, but Jotform does not say which plans include its Google Calendar tool. Botpress's Free plan covers 100 conversations if you build the booking flow yourself. Chatbase has no free plan.
Do appointment booking chatbots handle time zones?
The good ones show slots in the visitor's own time and book in the host's, with the conversion done in code rather than by the AI model. PepoChat works this way through PepoSmart, HubSpot lets visitors pick a time zone on its scheduling page, and Jotform's booking tool has a default time zone setting. Chatbase's booking docs do not mention time zones, so test that yourself.
