Notion

Teams whose documentation lives in Notion used to export PDFs that went stale. Connect Notion instead: pick the pages and databases to sync, and PepoChat re-fetches whatever changed once a day. A whole connection counts as one knowledge source however many pages it holds.

Connect and choose pages

1. Open Knowledge Base, click Add New and choose Connected apps

   It is the last tab of the dialog. Click Connect Notion.

2. Share pages on Notion's screen

   Notion asks which pages to share with PepoChat. Only the pages and databases you share here are ever visible to the connector; you can share more later from Notion's Connections settings. Click Allow. You land back on the Knowledge Base with the toast "Notion connected! Open Add New → Connected apps to choose the pages to sync — or sync everything you shared." A Notion · <workspace> row appears above the table with the badge Connected, "0 pages" and "Never synced".

3. Choose what to sync

   Open Add New → Connected apps again. The Notion card shows your account and "Everything shared with PepoChat". Click Choose pages: a searchable checklist of the shared pages and databases (databases are tagged) opens. Ticking a page includes everything nested under it; leaving all boxes empty means "Nothing ticked — everything shared will be synced". Click Save and sync.

4. Watch the first sync

   The imports panel at the top of the page shows a Connected app card: "Finding pages", then "Importing" with a running count, then "Completed". The connection row updates to the page count and "Last synced less than a minute ago".

What is synced and how it looks

• Pages are converted to Markdown: headings, lists, tables, toggles, callouts and code blocks are kept.
• Databases become one page per row: the row's title, a table of its properties, then the row's page body.
• Each synced page is a row in the Knowledge Base table with a NOTION badge, its title as the name, its size, and a link to the page in Notion. The category is "Notion".
• Up to 500 pages per connection. When a connection is over the cap, the pages already synced are kept and nothing new is added until you narrow the selection; the connection row says so.

Keeping it in sync

• Automatically, once a day. Only pages whose "last edited" time changed since the previous sync are fetched again, and unchanged text is never re-indexed. Pages you delete, unshare or untick disappear from the knowledge base at the next sync.
• Sync now, on the connection row or on the card, runs the same check immediately: "Syncing Notion — changed pages are re-indexed in the background". After an edit in Notion, the imports panel shows exactly that one page being imported.
• One import runs at a time per workspace, shared with website crawls. If you save a selection while another import is running, the toast says the sync starts automatically once the current import finishes.
• You can Cancel a running sync from the imports panel; the connection goes back to Connected.
• Deleting a single Notion page from the Knowledge Base table only removes it until the next sync finds it again. To drop a page for good, untick it in Choose pages or unshare it in Notion.

Limits

• One connection is one knowledge source. On the Free plan's five-source limit, connecting when the limit is reached ends with "Your plan's knowledge-source limit is reached — delete a source or upgrade, then connect again." and no connection is created.
• The synced text counts toward your plan's knowledge-base text cap, like uploads. See Manage sources.
• Images and files embedded in a page are not read; the surrounding text is.

Disconnect

Open Add New → Connected apps and click Disconnect on the Notion card, then confirm. The connection row and every page it synced are removed from the knowledge base immediately. To connect a different Notion workspace, disconnect first and connect again.
